Data And Client Expectations

by SimpleLaw on

It's been a year for all of us. Ultimately, it's about change and the speed of that change over the last year. That's true for attorneys and clients. The process of searching, interviewing, and engaging an attorney has changed for clients. The move to an online process was already well underway. Now? Clients require online access. Clients also want greater visibility to the process. And of course, they want the lawyer to keep them and their case top of mind.  As a lawyer, you care about each and every client. But keeping all that information top of mind for every client can be quite challenging. Enter the role of data and case management software.

Client Specific Information

As long as the firm doesn't have an abundance of clients, it's pretty easy to remember all the details of each client. After all, you really do care and get to know your clients during the process of resolving their legal issues. But, the goal is to have an abundance of clients, right?

So where can you have access to client-specific information, always at your fingertips? Case management software, of course. In fact, we just rolled out a new feature called Custom Field Sets. That means our attorney users can create any number of Custom Field Sets with whatever information is preferred. Are they a previous client? Did they recently move? What are their main concerns about their case? Favorite ice cream? You get the idea. Add as many fields as you like to any individual set. Create as many sets as you like. Maybe you want to know different things based on the type of case.

Once the Custom Field Sets are created, it's simple to attach the form to a case. Maybe you want a bit more customization at the case level that isn't required for the main custom fieldset. Maybe something came up during a conversation and you want to add that information to the case. No problem. Customize the custom field set at the case level. And the information is always at your fingertips once you are securely logged in to the SimpleLaw portal. These custom fieldsets are visible solely to the law firm, not the client.

Case-Specific Details

Each case requires different information, naturally. A real estate case is very different from a family law case. And both require a lot of information in order to complete all the required documentation and forms. Sure, you can interview the client to gather all the information. But that takes your time and the clients' time, at the same time. Scheduling is not always easy. Here we are again with another new feature to make the process simple and convenient.

We just rolled out Custom Client Intake forms. Much like the Custom Field Sets, each firm can create any number of intake forms, by case type, by document, or both. Each intake form can have as many fields as you like, too. Simply add the Intake Form to each case - 2 clicks - and the client will see the intake form from their portal view. The client completes the form at their convenience. So whether it's 6 am or 11 pm or anytime in between, the client has access. That means you both save time.  And you have all the information you need to complete any and all required documents or forms.

Similarly, Custom Intake Forms can be customized further at the case level. Perhaps there is something unique about the case and as such, you need a bit more information. No problem. Customize at the case level, anytime.

The client sees their completed intake form through the portal, too. The attorney has the choice to 'lock' the form. Or unlock it. As such, the client information is 'locked' for further updates without the client knowing.

Putting All That Data To Work

Now you have the information you need, at your fingertips. How will you use it? We have an idea... but you are going to have to be patient for it a bit longer. But if you have ideas, well, we are all ears!

Ultimately, the entire process of resolving cases is about clients and data. The more you have of both, the more you need case management software. Not only will it drive the efficiency of your firm, but it will also drive greater client satisfaction which leads to more clients. We love a good upward trend!
